Most agencies treat Upwork bidding as a daily grind. Admiral Studios turned it into a weekly glance. The agency didn’t lower its bar for a good job — it changed what does the filtering and the applying. Scanners were rebuilt in a day, an AI layer now drops the off-target jobs before anyone bids, and the whole sales team can see the pipeline.

The numbers stopped adding up

Lead generation at Admiral Studios runs through a small team inside the sales org, with Mariia as Head of Sales. Several people watch the account, so the reporting has to hold up.

On the agency’s previous bidding tool it often didn’t. Analytics didn’t reconcile, sync misfired, and the interface had fallen behind. There was no AI layer for relevance, so every bid was judged by hand. A/B testing, smart attachments and client-signal data lived in different places instead of one workflow — none of it helping the team move faster or bid smarter.

There was a period when our previous tool showed the wrong analytics and synced incorrectly, plus a dated interface that wasn’t very convenient. With Getmany it was the opposite — so we didn’t drag out the decision.

Live scanners by the end of day one

Admiral Studios switched to Getmany for the modern product — and a strong commercial offer. Onboarding was faster than expected: no one on the team had used Getmany before, yet live scanners were up by the end of the first day. The flow was familiar and the scanner syntax noticeably lighter than the previous tool’s, so turning the agency’s target jobs into working scanners took an afternoon, not a week.

📌 Editor’s note

Scanners are how you tell Getmany which jobs to target: keywords, budgets, client signals, filters. Admiral Studios rebuilt theirs from scratch in a day, with no prior experience on the platform.

We’d never worked with Getmany before, but within a day we were already creating scanners. Everything was easy — the same flow, and a much lighter syntax.

One check-in a week

The AI Decision Maker takes the first pass on relevance; the team stays in the loop as the final decision maker. It’s an aggressive filter, and bids to off-target jobs dropped sharply once it was on. Since it went on, roughly 1 in 5 matched jobs — about 22% — are skipped as irrelevant before a proposal ever goes out, and no connects are spent on them: around 1,900 jobs filtered out over eight months.

For me personally it’s the AI Decision Maker — our bids on irrelevant jobs dropped a lot.

With scanners running around the clock, the agency now applies to about 830 jobs a month — roughly 200 a week — automatically. The analytics are simple enough that the whole routine is a weekly look: check the numbers, move on. When there’s a task — tuning a scanner, adding a new one — it doesn’t take long.

If there are no extra tasks, we just log in once a week and check the analytics. If there is a task, we optimise a scanner or add a new one — it doesn’t take much time either.

The team leans just as hard on the parts of Getmany that sit around the bid. Master Inbox pulls client replies from every agency profile into one dashboard, instead of logging in and out of separate accounts. Smart Attachments send the right file with the right proposal. A/B testing and Client Signals live in the same workflow. Controlling lead generation doesn’t mean switching between tools.

Everything’s included — A/B testing, client signals — it’s convenient to control lead generation from one place.

Advices you can steal

01

Judge the interface before the feature list

You live in this tool every day — a clean, simple UI is not a nice-to-have.

02

Look for what your current tool doesn’t have

For us it came down to the AI relevance layer and having everything — A/B testing, signals, inbox — in one workflow.

03

Keep lead gen visible to the whole sales team

When several people can see what’s being bid on, nothing lives in one person’s head.

04

Know what the tool actually moves

Speed and volume come from automation. Conversion still comes from your cover letters.

It’s worth the switch if you want a faster, more visible bidding workflow — as long as you keep owning the part that closes deals.
